AI intake worker for small companies

Three channels. One problem.

Customers do not come in through a single channel. They call, fill in a form, send a message, at any hour and with wildly different amounts of information. For your team, that is not three simple enquiries, it is three different things to catch, check and sort out by hand. This is exactly where the work you could hand off piles up.

This is where the “intake” AI worker steps in

The intake worker monitors and collects every enquiry, understands what it is about and asks for the missing details: it calls, sends emails and documents, and even books meetings, using only the knowledge and permissions you give it. The result: the customer gets an answer right away, instead of waiting for someone to find the time.

A finished opportunity card

Three messy channels turn into one complete package: scope, timing, budget, contact details and the full transcript, always in the same structure. The client card, with the next step already set, lands where your team works: CRM, inbox or spreadsheet. No retyping, no copy-paste.

And all of it happened before anyone picked up the phone.

Now it is your turn: leave your contact details and talk to the assistant. The form is right below.

  1. You
  2. Company
  3. Process

Who am I speaking with?

By submitting the form, you agree to be contacted about your enquiry. See the Privacy Policy for details.

Talk to my agents

Three sample businesses, three voice agents. Click, speak as you would on the phone, and the transcript appears alongside. The agents speak Polish.

Kasia

Pod Lipą restaurant

Try opening with:

“A table for four on Friday at 7 pm, is that possible?”

Marta

MediVita clinic, front desk

Try opening with:

“I need to see a GP, what is the earliest slot?”

Bartek

Kowalski car service

Try opening with:

“When can I bring the car in for a tyre change?”

These are AI agents, not people. The call runs through ElevenLabs and is recorded, by clicking “Start the conversation” you agree to that. Details in the Privacy Policy. You need a microphone, headphones work best.

For companies where the phone rings mid-job

You are at a client's site, in the workshop or in the middle of an appointment. The enquiry arrives now, and you can only get back to it in the evening.

Missed call

A client calls once. When nobody picks up, they may call the next company on the list, and you never learn what they wanted.

Half the information

A form without an address, a message without a date, a call without details. Before you can quote anything, you have to ask.

Calling back blind

You call back without knowing who it was or what they needed. The first minutes go to things the client could have told you earlier.

The intake worker handles that first conversation for you. It answers right away, asks for whatever is missing and hands you a ready brief before you call back.

From one conversation to your first brief

Three steps. You can take the first one right now, on this page.

  1. You describe your process

You leave your contact in the form and, if you like, talk to my assistant. It asks how clients reach you and what you need to know before you call back.

  2. I set the assistant up on your knowledge

Your offer, the scope of your services, the questions you ask every time. You decide what it may handle on its own and what it only writes down for you. You test it yourself before any client hears it.

  3. You get the brief before you call back

The assistant takes the enquiry, asks for what is missing and records the full picture: who, what they need, by when, plus the complete transcript. The card lands where you already work: your CRM, inbox or spreadsheet.

Safety and control

A fast answer is worth nothing if the client feels misled. That is why the assistant follows four rules.

It answers plainly

Asked whether it is talking to a human, it says it is an AI assistant and does not dodge. How it introduces itself at the start of a call, we set up together before any client hears it.

It records only with consent

A recording and transcript are made only when the caller agrees. This page works the same way: without the consent box ticked, the conversation does not start.

You know who sees the data

Before we start, we agree what information the assistant collects, where the conversation records are stored and who can access them. You see them, along with the people you give access to.

A human has the final say

The assistant gathers the information and prepares the next step. You decide what it may do on its own, such as putting a date in the calendar. It never gives a binding quote, accepts a job or turns one down for you.

Questions about Intake

Will my client know they are talking to AI?

Yes. Asked whether it is a human, the assistant says plainly that it is an AI, and how it introduces itself at the start of a call, we set up together. If the client prefers a person, it takes their contact details and passes the matter to you.

What if the assistant does not know the answer?

It is set up to answer only from the knowledge you give it. A question outside that goes into the client card for you, instead of a guess.

Where does the collected information go?

Where you already work: your CRM, your inbox or a spreadsheet. You do not have to learn a new program.

Can I hear what it sounds like first?

Yes. Further up this page there are three demo agents for sample businesses. You can talk to them without leaving your contact details.

Where do I start?

With the form further up this page. Leave your contact and tell the assistant how enquiries reach you today. The conversation is optional, your contact alone is enough.
