Purposes and legal basis

We process data from the contact form to reply to your inquiry and prepare an audit or AI implementation proposal. The legal basis is Art. 6(1)(f) GDPR (legitimate interest: handling incoming inquiries and a potential contract). Data from the visit itself, without the form, is processed to measure traffic and diagnose errors (see the Analytics and cookies section). The voice conversation on the /intake page, together with its recording and transcript, is processed under Art. 6(1)(a) GDPR (your consent, given before the conversation starts) in order to prepare a project card and get back to you. You may withdraw consent at any time; this does not affect the lawfulness of processing before withdrawal. As a secondary basis we also rely on Art. 6(1)(f) GDPR (defence against claims and service quality).

What we collect in the contact form

Talking to the AI assistant

On the /intake page you can talk to a voice assistant. It is an artificial intelligence system, not a human, we tell you this before the conversation starts. You start the conversation yourself by clicking a button after ticking the consent box, and you can stop it at any time. We record the conversation and store it as a transcript so we can prepare a summary and get back to you. The assistant does not recognise you by your voice and is not used for biometric identification, we only store what was said. For that reason we do not process special category data within the meaning of Art. 9 GDPR. The assistant does not make any decisions about you. It gathers information; a human reads the result and decides what happens next.

Recipients

Form data reaches us through an n8n webhook, is stored on our server, and may be shared with vendors that help us run the business: the hosting provider and the email provider. All vendors act under data processing agreements (Art. 28 GDPR). We never pass your data to third parties for marketing. If you use the voice assistant, the following additional processors are involved: ElevenLabs (running the conversation, speech recognition and synthesis, recording and transcript), Google Cloud, Vertex AI (analysing the transcript and preparing the project card), Notion (storing the transcript and project card) and Resend (sending the email notification).

Transfers outside the EEA

Some of the vendors we use for the voice assistant process data outside the European Economic Area, in particular ElevenLabs and Notion (United States). Such transfers take place under the data processing terms and safeguards applied by those vendors. If you want details for a specific vendor, get in touch and I will share the current information.

How long we keep your data

We keep contact form data for 24 months from last contact, unless you ask us to delete it sooner. Analytics data, aggregated and cookieless, follows the vendor's policy (Plausible, 12 months by default). Recordings and transcripts of conversations with the voice assistant, and the project cards derived from them, are kept for 90 days from the conversation, unless you ask us to delete them sooner.

Your rights

Under the GDPR you have the following rights:

• Rectify inaccurate data (Art. 16).
• Erase your data, the right to be forgotten (Art. 17).
• Restrict processing (Art. 18).
• Port your data (Art. 20).
• Object to processing (Art. 21).
• Lodge a complaint with the President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl.

Is providing data mandatory

Providing data in the form is voluntary. Without it, however, we cannot reply to your inquiry or prepare a proposal.

Automated decisions and profiling

We do not use automated decision making with legal effect, and we do not profile you. This also applies to the voice assistant: it gathers information but does not make decisions producing legal or similarly significant effects for you.

Analytics and cookies

Site traffic is measured by Plausible, a cookieless analytics tool: it does not set tracking cookies, does not store IP addresses in a form that identifies you, and does not share data with third parties. See the Cookie Policy for details.
